Forefront Document Imaging is fully integrated with the accounting, job costing, human resources and even project management software. Document Imaging addresses a typically painful problem for construction companies: giving management, office staff and project managers the fast access they need to important documents like AP invoices, change orders, payroll timecards, contracts and others.

The company frequently has to fax, overnight or courier those documents; that’s expensive and wastes significant time as the administrative staff locates, copies, sends and refiles those documents repeatedly. Worse, original documents sometimes aren’t returned to the proper file. Forefront Document Imaging incorporates documents electronically into the construction company’s workflow. It puts invoices, time cards, contracts and more at one’s fingertips in the office and the field.

INVOICE APPROVAL
The approval process for Accounts Payable (A/P) invoices demonstrates how Document Imaging fits into the construction company’s workflow process:

· A/P receives an invoice and immediately enters and scans it into Forefront. Forefront automatically indexes the invoice to the transaction record, eliminating the possibility of error.

· Reporting is immediately available to show pending invoices, and how long they’ve been outstanding (that’s very helpful at month end for WIP [work in progress] and for cash requirements reporting).
· The approver (a project manager, for example) receives an email announcing that invoices are ready for approval.
· The project manager goes to the invoice approval screen to view pending invoices and codes them by job and phase. Thanks to Document Imaging, the project manager can view the original invoice on screen with a single mouse click. The project manager can also attach notes to the invoice with questions or instructions.
· Once coded and approved, the invoices are routed back to accounting for payment. (Additional steps also can be included in the approval process, like routing invoices to the controller for review/approval before they go to accounting for payment.)
