following are some of the salient features of our Payroll process:
1. They follow Bi-weekly pay period
2. During every month end they run a month end clearing process. The payroll expenses and benefit expenses thus booked to Payroll account or benefit account, during the payroll run and are later cleared in an allocation process to different accounts assigned to the Work orders. The labour hours are booked to different work orders through a 3rd party timesheet and each of these work orders has an expense account tagged to it. The payroll account, benefit account balances are cleared to these expense accounts linked to work orders, pro rata as per the labour hours booked to these work orders.
3. Since they use Bi-weekly pay period, more often than not they are always left with few days at the end of the month which are not covered in the pay periods during the month. Since the Month end process takes all the labour hours booked during the whole month, they need to enter an accrual payroll transaction for few days at the end of the month. For example for the month of September, 2004 lets say they are left with days 26, 27, 29, 30 which are covered in the bi-weekly payroll run. But they do have labour hours booked for these days in timesheet. So they need to enter an accrual payroll transaction for these 04 days. During the month end clearing process this payroll accrual transaction will make sure that there no over allocation of labor hours to the expense accounts linked to Work orders.
4. Moreover the accrued payroll run also makes sure that the amounts booked for the left over days are booked to the current month and not on the month the payroll run is actually run. For example the actual payroll run will be run on the next month October. So the accrued Payroll transaction entered in the system will make sure that the left over days amount booked as a result of payroll run are actually booked in the same month (period/cycle) and not to the
subsequent month.
As of now I havent seen a way to run an accrued payroll run in Great Plains. I was thinking if there is any way to advance payrun but I coudnt figure if this can be help my cause. I would like to know how we can enter an payroll accrual transaction in Great Plains. If yes how to do it. If not what can be the workarounds. This will surely help me a long way.
